Topic: Letter to the Principal about taking a week off

You are currently taking a course at a college but you will need to have a week off during this course.

Write a letter to the Principal of the college. In the letter

  • Mention details of your course
  • Explain why you need a week off
  • Say what you want the Principal to do.

You should spend 20 minutes on this task.

Model Answer 1:

Dear Sir/ Madam,

I am a foreign student in the MicroBiology department at the college. This is my second year and I have been attending the class regularly. My tutor is Mr. Robert and I are residing in the college residence.

I am writing to request a week’s leave from the college next month. My brother’s wedding is taking place in my home country and my family expects me to be present there. I realize that this means that I have to miss lectures for a week. I can manage the loss and arrange for one of my friends on the course to give me any notes concerning what I have missed.

I would be grateful if you would allow me to be absent for the week beginning 1st March. I assure that I will be attending the classes regularly after returning and reporting to the department head. If you are kind enough to grant me permission for this, I will speak to Mr. Robert and arrange to make up for any work that I fail to do when I will be away.

After the investigation, she informed me that I have a stone in my kidney and advised me to get admitted to the hospital. She has also advised me to undergo an operation, for which she has scheduled the procedure for 9 am, this Tuesday. I am afraid that I won’t be able to attend the lectures for a week, as I will have to take at least a week’s rest.

I would be extremely grateful if you would give me permission to be absent for the period. I assure you that I can join the class by next Tuesday and make up for any work that I missed while I was away. I will also report before the department head as soon as I return to the college.

I am writing to request a week off from 28th October to 4th November in order to make an industrial visit as a part of my project work. I am an overseas student in the second year of my post-graduate program in Electrical and Electronics Engineering.

My specialization is Power Electronics and as a part of my course curriculum, I am supposed to work on an application project in the upcoming semester. After researching my options, I have finally taken the decision to work with one of the leading electronics companies in New Zealand.

I tried to approach the research department of “Gramond Instruments” multiple times and all my requests were rejected due to their tight schedule. The deadline for my project topic submission is almost near and the company has given me an appointment for the aforementioned dates, upon special request. Unfortunately, if I fail to visit the company this time, I will not be able to get an opportunity again.

I would be extremely grateful if you would grant me a leave for the week. I am assured to attend the class regularly as soon as I return from the visit. If you are kind enough to grant me permission for this, I will speak with the company and get my appointment confirmed.

Some Tips for Writing a Letter of request

Before writing the letter:

  • Read the question and identify the situation and task.
  • Underline the keywords mentioned in the task.
  • Spend the initial five minutes brainstorming details to include in your response. Decide what you will include in the letter.
  • Decide how to structure the letter and what to mention in each paragraph.

Follow Up:

  • After writing the letter, read it carefully to check the spelling and grammar.
  • Make sure that you have achieved the minimum word count of 150 words.

Note: Do not add any address to the letter.
