VISA & Work Study


  • When students are admitted as an exchange student, UW-Madison will create an acceptance letter and a DS-2019 “Certificate of Eligibility for Exchange Visitor (J-1) Status” for them. They will use these documents to apply for their visa. Check with their local U.S. Embassy or Consulate for more information on how to apply.
  • Additional or different documents might be required depending on where they plan to apply for their J-1 visa. Approximate visa appointment wait times and processing times can be found online at the U.S. Department of State website. Avoid traveling abroad around the time they expect to be applying for their visa in order to keep the process as simple as possible!

Work Study

  • A student in F-1 status may work up to 20 hours per week on campus while enrolled in a full course of study (12 credits for undergraduates, eight credits for graduate students, three credits for dissertators). As a full-time student, they do not need permission to work on-campus up to 20 hours per week.
  • A student in J-1 status enrolled in a full course of study is eligible to work up to 20 hours per week on campus after securing a written program sponsor permission letter.

Career and Placement after Course

  • Work-study is awarded to eligible students through their Financial Aid Award. Work-study is not a grant or a loan but a need-based, part-time employment program in which the government and the employer share the payroll cost of employment.
